Administrator

  • Location: Office-based, near Church Stretton, Shropshire (Driving licence & car essential)
  • Salary: £26,000 – £30,000 (dependant on skills & experience)
  • Line Management: This position reports to the Head of Events

If you are looking for a role with purpose and variety, we have an exciting opportunity for a highly organised, detailed and proactive administrator to join our dynamic team and support with coordination of world-class international events.

The World Egg Organisation (WEO) is the global voice of the egg industry, representing and supporting businesses worldwide.

We are seeking an enthusiastic individual to provide high-quality administrative support across all stages of planning, organising and delivering our global conferences, meetings, and events. Working closely with the Head of Events and wider team, the successful candidate will provide administrative, logistical and research support to ensure events run efficiently and professionally.

This is an ideal opportunity for someone highly organised, detail-oriented and confident managing multiple workstreams.

Duties and responsibilities

  • Monitor the events shared inbox, responding to enquiries or escalating where appropriate
  • Prepare and coordinate event documentation, including; event insurance, cross-company contracts, visa invitation letters, and risk assessment documentation
  • Create and manage event timelines and task trackers
  • Manage hotel room blocks and support side meeting coordination
  • Handle a wide range of event-related correspondence and enquiries
  • Support logistics for regular regional and external events
  • Liaise with conference hotels and destination management companies (DMCs), advising on WEO requirements and updates
  • Research, compare, and coordinate high-quality conference hotels, suppliers, and delivery partners
  • Collate proposals and quotations from hotels and suppliers
  • Prepare cost comparisons and present findings to the Head of Events
  • Conduct desk research on off-site venues for social functions and activities
  • Research future conference dates to avoid clashes with key holidays and major industry events
  • Collect and report data to track conference trends and insights
  • Support with event sponsorship enquiries and administration
  • Plan and book team and speaker travel logistics and itineraries, including; flights, hotels, airport transfers, and travel insurance.
  • Provide event logistics and key details to the communications team
  • Contribute to attendee communications, including travel guidance and local recommendations
  • Provide administrative support to the wider WEO team as required

Knowledge and skills

  • Proven administration experience
  • Excellent organisational skills, with the ability to plan, prioritise and manage multiple tasks independently to meet deadlines
  • Confident communicator, both written and verbal, able to engage effectively and professionally with a range of international stakeholders
  • Exceptional attention to detail and accuracy
  • Ability to maintain confidentiality and handle sensitive information
  • Professional and proactive approach to problem-solving
  • Ability to work both independently and collaboratively as part of a team
  • Proficient in Microsoft Office, with strong digital and IT skills
